Our client is a leading company and brand in the Logistics sector in East Africa, and is looking to source brilliant talent to support their strategic growth objectives and maintain pole position in the market and industry. They seek to fill the vacancy of Assistant Operations Manager, Human Resource Officer, and Documentation Clerk, we invite qualified, competent, and interested applicants to apply fill the roles.


Reports to: General Manager
Main Purpose/Mission of the job:
To ensure proper co-ordination of events/activities to meet weekly loading projection towards the budget set, and allocation of trucks/cargo from loading stations for quick turn-round of trucks.

Key Duties and Responsibilities;
> Open and monitor allocated trip in the ERP, GPS & IVMS system.
> Maintain reports metrics and prepare documentation for the various loads as required by the clients and the company as determined from time to time.
> Oversee Planning, loading and dispatching of trucks in Kampala.
> Ensure with workshop foreman that the prime mover and its attendant trailer are in good condition to make the trip and in incompliance with HSE and corporate requirements before the trip start.
> Initiate and ensure that all clients, government licensing, permits, clearances and documentation required for the trip are in hand to make the trip on a timely basis.
> Initiate and attend tool box talks for trip send off.
> Ensure that trip sheet and JMP are in place and completed as per company requirements on a timely basis.
> Constantly track trip movement and its cargo and report on the trip as to progress as to JMP.
> Be in constant touch with the driver during trip, monitoring driver via tracking.
> Receive weekly loading Plan for clients, coordinating with General Manager for loading and dispatch of trucks.
> Allocating and managing local based shunting trucks and drivers on a day to day basis.
> Overseeing directing loading operations, mobilizing specific action groups for specified cargo.
> Manage the boarder team for efficient clearance.
> Monitor truck delays across all borders, compile delays and subsequently forward the same to accounts for invoicing.
> Initiate requests for all expenses outside of the standard expenses in terms of fuel, trip expenses and allowance to Head of Operations and finance departments.
> Brief driver before start of trip and debrief driver on return form trip and ensure collection of the complete documentation to enable finance function in company to issue timely invoices to clients
> Ensure Client reporting requirements are made during the trip and to advice allocation and workshop in good time on estimate turnaround for planning purposes
> Delegate duties within the boundary of operations and within supportive team

Reports to: Human Resource Manager
Main Purpose/Mission of the job:
Responsible for providing support in the various human resource functions, which include recruitment & selection, training & development, performance monitoring, staff discipline and QHSE.

Key Duties and Responsibilities;

Talent sourcing and On-boarding
1. Prepare notices and advertisements for vacant staff positions.
2. Provide administrative support in recruitment and selection processes.
3. Produce and deliver offer letters to candidates as directed by HOD, in alignment with Company Policy and Procedures.
4. Provide staff orientations.
5. Conduct exit interviews.
6. Provide advice and assistance with writing job descriptions.
7. Ensure that accurate job descriptions are in place.
8. Coordinate staff recruitment and selection process in order to ensure timely organized and comprehensive procedures is used to hire staff.

Learning and Development
1. Work with HODs and staff to identify learning & development needs, perform gap analysis, designing and leading programs that build people management and leadership skills and capabilities.
2. Maintain staff training records.
3. Organize staff training sessions, workshops and activities.
4. Process employee requests for training while complying with policies and procedures.
5. Monitor the L&D plan and budget for optimum utilization and performance.

Monitor staff performance and attendance activities

1. Provide advice and assistance when conducting staff performance evaluations.
2. Investigate and understand causes for staff absences.
3. Manage leave and sick off records.
4. Provide basic counseling to staff that have performance related obstacles.
5. Recommend solutions to resolve chronic attendance difficulties

Staff discipline and grievance handling.
1. Handle complaints, conflicts/grievances and disputes with the help of the HODs.

1. Ensure company Quality & HSE policies and procedures are adhered to
2. Liaise with other group companies to review and update HSE practices and procedures.
3. Conduct general Q&HSE inductions for employees and sub-contractors
4. Follow up and ensure all non-conformities are closed out in time.
5. Attend crew Toolbox and Safety Meetings
6. Make recommendations that optimize the H&S for an efficient organization.

Perform any other duties as may be assigned by the management from time to time

Degree holder in Humanities

To effectively manage all permit applications, logistical and legal issues in Uganda

Key Duties and Responsibilities;
> Responsible for Uganda Road exemption permit applications
> Coordinating and formalization of all the process pertaining legal requirements in booking, payment and delivery of permits
> Link up person with Transport department to oversee and handle all incidents. accidents and other legal related issues in Uganda
> Link up person with Client Managers to oversee and manage all export related loadings, deliveries and report accordingly.
> Link up person with Container Logistics department to oversee empty container drop off in Uganda and return deliveries

> . Diploma in any related field
> Have no criminal record. Possess a police certificate of good conduct.
